Event Coordinator (Corporate & Community Events)

Location: Franklin & Nashville, TN

Hours: 40 hours/week, Must be able to work Nights & Weekends

We are seeking a detail-oriented, outgoing, and proactive Event Coordinator to oversee corporate and client events at two thriving coworking and event venues located in Franklin and Nashville, TN. This role is ideal for someone who thrives in dynamic environments and enjoys turning event plans into seamless, memorable experiences.

About the Space:

Our venues serve as both coworking hubs and event spaces designed for small businesses, startups, and entrepreneurs. We host everything from corporate workshops and networking mixers to product launches and private team gatherings. This is a hands-on, client-facing role that ensures the event side of our business operates with professionalism and charm.

Responsibilities:

  • Client Relations: Act as the primary point of contact for clients throughout the event process—before, during, and after. Build strong, trusting relationships to ensure a smooth experience.
  • Event Coordination: Assist clients in selecting local vendors such as catering, bartending, and entertainment. Provide guidance to help shape events that align with their brand, goals, and budget.
  • On-Site Management: Lead day-of logistics, vendor coordination, and venue setup/teardown at both locations. Be present and prepared to resolve any last-minute adjustments or challenges.
  • Timeline Execution: Maintain control of event schedules, ensuring everything from guest arrivals to wrap-up goes according to plan.
  • Collaborative Delivery: Partner with internal staff, vendors, and clients to align every detail—from lighting and seating to beverages and signage.
  • Hospitality & Space Support: During business hours, welcome guests and members warmly, assist with maintaining an organized and inviting workspace, and support refreshment programs (coffee, beer, etc.) as needed.

Qualifications:

  • You bring 2–4 years of experience in client-facing roles; experience in hospitality or event planning is a plus.
  • You communicate clearly, warmly, and professionally, both in person and in writing.
  • You remain composed and effective under pressure and can make thoughtful decisions quickly.
  • You’re exceptionally organized and love juggling multiple tasks at once without dropping the ball.
  • You’re collaborative, self-motivated, and bring positivity to every interaction.
  • You're available to work evenings, weekends, and holidays as event schedules require.
  • Familiarity with the Franklin and Nashville business/event scenes and local vendors is a strong advantage.
